Overview
VoiceAppear is a Windows speech-to-text desktop application. You hold a key, speak, and the transcribed text appears wherever your cursor is, in any application. This Privacy Policy explains what data we process when you use our website, create an account, and use the VoiceAppear application, and what rights you have regarding that data.
We are committed to processing as little personal data as possible. In particular, the audio you speak and the text it is transcribed into are processed transiently and discarded immediately after the text appears. They are never stored on our servers or shared with third parties for their own purposes.
Data we collect
Depending on how you use VoiceAppear, we process the following categories of data:
- Account data: your email address and authentication details when you create an account.
- Billing data: the data required to process payments for paid plans, such as your name, billing address, plan and subscription status. Payment card details are handled by our payment provider and are not stored by us.
- Voice and audio input: the audio you speak while using the application and the text it is transcribed into, processed only for the moment needed to produce the transcription.
- Usage and diagnostic data: technical information such as app version, operating system, crash reports and aggregated feature usage, used to keep the service reliable.
How voice and audio are handled
When you dictate, your audio is sent for transcription, converted to text, and the text is inserted at your cursor. The audio and the resulting transcript are processed transiently and discarded right after the text appears. We do not store your audio recordings or transcripts, we do not use them to build user profiles, and we do not sell or share them.
Transcription may be performed using a third-party AI processing service acting strictly on our instructions as a processor. This processor receives the audio only for the duration of the transcription and does not retain it for its own purposes.
Legal bases for processing
We process your personal data on the following legal bases under Art. 6 GDPR:
- Performance of a contract (Art. 6(1)(b) GDPR): to provide the application, manage your account, and process your plan and billing.
- Legitimate interests (Art. 6(1)(f) GDPR): to keep the service secure and reliable, prevent abuse, and improve the product through aggregated diagnostics.
- Consent (Art. 6(1)(a) GDPR): where we rely on your consent, for example for optional analytics; you may withdraw consent at any time.
- Legal obligation (Art. 6(1)(c) GDPR): to comply with statutory retention and accounting requirements.
Processors and third parties
We use carefully selected service providers who process personal data on our behalf under data processing agreements. These currently include:
- A transcription / AI processing provider that converts audio to text transiently (placeholder — to be specified).

Account and billing data are kept for the duration of your account and any applicable statutory retention periods. Voice and audio input is not retained beyond the moment of transcription.

We aim to process your data within the European Union. Where a processor processes data outside the EU/EEA, we ensure appropriate safeguards are in place, such as the European Commission’s standard contractual clauses.
Your rights under the GDPR
You have the following rights regarding your personal data:
